Project management
The Home section is your team's day-to-day: a calendar of everything scheduled, a unified inbox, workspace-wide tasks, no-code automations, and a space for every client.
Calendar
The Home landing page. A month grid of everything scheduled across the workspace: tasks with due dates and your team's time-off (approved leave shows on the days it covers). Use the search field to filter the calendar, step between months, or create items in place with quick actions.
Inbox
A unified notification feed with a split reading pane. Everything that needs your attention lands here — including time-off requests, comment mentions, and notifications sent by your automations. Open an item on the left to act on it in the detail pane.
The Inbox is reached from the notifications pill in the top bar, so it is one click away from any page rather than only from Home.
Tasks
Workspace-wide task management. Every task carries an assignee, a due date, and a priority; tasks also live inside spaces and projects, and deals have their own task lists.
- Private tasks — mark a task private and it is restricted to the people on it. Private tasks are marked with a lock and a hatched pattern everywhere they appear.
- Quick-add — create tasks from anywhere with ⌘K; they appear in lists immediately.
- Assign to an agent — assignees can be AI agents as well as people. Assigning a task to one starts it working, and it reports back in the task's comments.
- Automation-aware — task events (created, completed, overdue, reassigned) can trigger automations.
Automations
A no-code builder for workspace automations: pick a trigger, optionally add conditions, then stack one or more actions. Message fields support tokens like {{task.name}} or {{task.assignee}} that fill in from the triggering record.
Triggers
- When a task is created, completed, becomes overdue, or is reassigned
- When a deal changes stage, or has been stagnant for a set number of days
- When a leave request is submitted
- On a schedule — daily, weekly, or monthly at a set time
Actions
- Create task — insert a new task with a name, space, assignee, and a due date relative to now
- Send Slack message — post to a channel or DM a member (requires the Slack integration)
- Send in-app notification — deliver a notification to the Inbox
- Assign user to task — update the assignee on the triggering task
- Trigger Zapier Zap — POST the event to a Zapier webhook, connecting your automations to 6,000+ apps
A built-in team member onboarding automation can welcome new members automatically. Sales-specific automation (campaign activity moving deals between stages) is covered under Outreach & campaigns.
Spaces & projects
A space is a client's home in Kyo. Everything about that client lives together: their Slack channels, meeting notes, strategy docs, and progress updates, alongside the work itself.
- Overview — each space has an overview page that gathers the client's context and latest updates in one view.
- Projects — spaces contain projects, created straight from the sidebar; each project has its own page and task list, and can be switched to a kanban board with stages you define.
- All tasks — a space-wide task view collects every task across the space's projects.
- Sharing — spaces can be shared externally via a tokenised public link, so clients can follow along without a Kyo account.
