Workspace basics

Everything in Kyo — spaces, CRM, finance, knowledge — lives inside a workspace and is isolated to it. This page covers setting one up, finding your way around, and the settings that keep it running.

Setting up

  • Join the beta — create an account at app.trykyo.com.
  • Name and logo — set them in Settings → Workspace, along with the workspace timezone.
  • Invite your team — share the workspace invite code or link from Settings → Workspace. Admins manage roles and per-member access (for example CRM or Metrics access) in Settings → Members.
  • Connect your tools — Slack, Stripe, Lemlist, Granola, and more; see Integrations.
  • Bring your data — admins can import existing records from Settings → Import data.

The sidebar is organised into five sections — Home, Sales, HR, Library, and Finance — plus Settings. Each section has its own subnav: Home, for example, holds Calendar, Tasks, Automations, and your Spaces. The Inbox is reached from the notifications pill in the top bar, so it is available from every page.

  • Quick actions (⌘K) — the command palette in the top bar creates tasks, deals, and more from anywhere, and jumps to any page.
  • Search — global search finds spaces, tasks, and deals across the workspace.
  • What's new — release notes appear in-app as they ship; the full history is on the changelog.
  • Instant UI — pages paint instantly on navigation and every create, edit, and delete reflects immediately, no refresh needed.

Settings & roles

  • General — profile, avatar, theme, and appearance.
  • Notifications — control what reaches you and how.
  • Shortcuts — the keyboard map.
  • Workspace — name, logo, timezone, invite code/link.
  • Integrations — admins manage workspace connections; everyone manages their personal ones (Google, Granola, X).
  • Members (admin) — roles and per-member permissions; see roles and permissions below.
  • Agents — create and configure your AI agents: instructions, knowledge files and the tools each one may use. Visible to anyone with the Agents permission.
  • Billing (admin) — plan, payments, invoices, and credits.
  • Import data (admin) — bring existing records into the workspace.
  • Reports (admin) — schedule end-of-day, end-of-week, and end-of-month report digests.
  • API (admin) — personal access tokens, connected apps, and OAuth app registration; see the REST API.

Roles & permissions

Every member has a role, and members can be granted access feature by feature:

  • Admin — full access to everything, including billing, members and workspace settings.
  • Member — no access by default. An admin grants each feature explicitly, as read-only or full access: CRM, HR, Finance, Competitor Analysis, Metrics and Agents. Two further grants control creation rather than viewing — Spaces and Projects.
  • Sales rep — a fixed grant for setters and closers: full CRM, nothing else. Their sidebar narrows to Home and Sales.

Permissions are enforced in the database, not merely hidden in the interface — and they apply to the API, CLI and MCP server too, so an integration can never reach a feature its authorizing member cannot open in Kyo.

Credits & billing

AI-powered features run on a dollar-denominated credit wallet. Kyo meters actual usage — you are only ever charged for what a feature really consumed, never a flat per-job fee.

  • What uses creditsAI agents, the Kyo AI assistant, CRM Super's scraping and enrichment, competitor monitoring and its reports, the AI metric builder, enrichment via the API/CLI, X (Twitter) DM tracking, and scheduled reports.
  • See where it went — Billing breaks spend down by feature, and agent spend down by individual agent.
  • Top up — admins buy credits from Settings → Billing; subscription, payment methods, and invoices live there too.
  • Fail-closed — when the wallet is empty, credit-metered features pause instead of running up a bill.
